ezAccounting Troubleshooting: Payroll Report Issue and Solution

Issue #1: Old form (or wrong year) issue

You may encounter this issue if you did not update ezAccounting in a timely manner.

Note: The IRS releases new forms at specific times each year:

  • Form 941 in March
  • Forms W-2 and W-3 in November
  • Form 940 in December

  • ezAccounting will release new versions of the software when these updated forms become available.

    Solution: Please update ezAccounting to ensure you have the latest forms and features.

    Issue #2: $0 amount issue

    Ensure that you have selected the correct year or date range on the report or form. If the issue persists, you can run the Employee Payroll Report to view the checklist.


    Issue #3: Amount Issue

    If you encounter issues with incorrect amounts, follow these steps to diagnose and resolve the problem:

    Run the Employee Payroll Report:

    This report provides a checklist and summary data to help identify discrepancies.

    Possible Causes and Solutions:


    3.1. Wrong year or wrong date range.

    Solution: Double-check the date range to ensure it is correct.


    3.2. Wrong report option.

    Solution: View and edit the report option if needed.


    3.3 Pre-tax Deduction Errors:

    Solution: Verify that pre-tax deductions are correctly configured and applied. If a deduction is mistakenly set to be exempt from federal and state taxes, follow these steps to correct it:

  • Change the deduction option to ensure it is not exempt from federal and state taxes.
  • Delete the incorrect paycheck.
  • Add a new paycheck.

  • This will update the federal and state tax amounts accordingly.






    4. Run employee payroll report to verify data

    4.1 Start ezAccounting, click on the top menu "Report," then select "Employee Report," and choose "Employee Payroll Report."

    4.2 Select the correct date range (e.g., for the 1st quarter: January 1 to March 31) to view the checklist and summary data.

    Note: If you have pre-tax deductions, you may notice different amounts on various forms/reports. For example, the taxable income reported on Form 941 may be lower than the gross payment on the Employee Payroll Report due to pre-tax deductions.
