FAQ and Troubleshooting 941 E-Filing Issues

The following are common issues that may arise when submitting 941 forms electronically to the IRS through Halfpricesoft.

General Questions

How long does it take Halfpricesoft to process my 941 forms?

We will process your 941 forms within 2 business days of submission. If you submit your 941 forms in advance of the deadline, we will ensure they are processed in time.

If you upload your 941 forms on a weekend or holiday, we will process them on the next business day.

How do I know if my 941 forms have been accepted by the IRS?

You can monitor the status of your 941 forms by logging into your account and going to the dashboard monitoring page. Here you can see the status of each form, the date it was submitted, and the date it was accepted by the IRS.

The deadline is in less than 2 days and my 941 forms are still in the "Internal Review" stage. What should I do?

If your 941 forms are still in the "Internal Review" stage and the deadline is in less than 2 days, please contact our support team immediately. We will do our best to expedite the processing of your 941 forms.

There was a mistake in my form I discovered after submitting. What should I do?

If you discovered a mistake after submitting but the status is still in the "Internal Review" stage, please use the dashboard to delete the submission. You can then correct the mistake and resubmit the form. We will not count this against your submission limit.

If the status is in the "IRS Submission" or "IRS Acknowledgment" stage, you will need to file a 941 correction with the IRS.

Do you support 941-X (941 Corrections)?

We do not support 941-X (941 Corrections) at this time. If you need to file a 941 correction, you will need to do so manually with the IRS.

Does Halfpricesoft validate the data in the submission?

We do not validate the data in the submission. If the IRS finds errors in the submission later, you may need to file a 941 correction. Please ensure all data is correct before submitting.

What should I do with the acknowledgment from the IRS?

On the e-file dashboard page, there is an acknowledgment from the IRS. We HIGHLY recommend you download and save this acknowledgment for your records. This acknowledgment is proof that the IRS has received your 941 forms. In case you need to contest the IRS, this acknowledgment will be your proof.

Halfpricesoft will persist the acknowledgment for a currently undefined period of time. However, we recommend you download and save the acknowledgment for your records. If you need the acknowledgment later but you cannot download it from our website, you can contact our support team for assistance.

My login is failing when I try to submit my 941 forms. What should I do?

If you have reached the login step and are unable to log in, please check the following steps:

  1. Ensure you are using the correct email and password. Try logging in on our online login page to confirm your credentials are correct. If you are unable to log in, you may need to reset your password.
  2. If the login works online but not offline, please ensure you are using the same email and password.
  3. Verify your internet connection is stable. If you are using a VPN, please ensure it is not blocking our website.

The app claims I have reached my capacity limit. What does that mean?

If you have not yet purchased the 941 e-filing service, you will need to purchase the service to continue submitting 941 forms. You can purchase the service online here.

You can check your current capacity limit by logging into your account and going to the dashboard monitoring page. Here you can see your current capacity limit and how many submissions you have left.

I do not see the 941 e-file option in my ezPaycheck software. What should I do?

Make sure you are using a version of ezPaycheck for Windows that is 3.14.15 or greater. You can download the latest version of ezPaycheck by visiting our download page.

As of now, we are only offering the 941 e-filing service for the 941 form on the Windows version of ezPaycheck. For now, you will be unable to e-file 941 forms on the Mac version of ezPaycheck.

IRS Errors

The following are common errors that may arise when submitting 941 forms electronically to the IRS.

The 'QuarterEndingDt' in the Return Header must be less than the Received Date.

The quarter ending date being submitted is before the current day. For instance, if you are filing for Q3 2024 ending on 09/30/2024, the submission date must be after 09/30/2024.

IRS Message: Filer's EIN and Name Control in the Return Header must match data in the e-File database.

The EIN and Name Control in the Return Header do not match the IRS database. This is likely because the EIN and/or Name Control was entered incorrectly. Please verify the EIN and Name Control are correct and resubmit.
